QuickBooks, Xero and Sage are the three names you'll hear most often when it comes to cloud accounting. All three handle VAT, bank feeds, invoices and Making Tax Digital — but they suit different businesses in different ways. Here's how I guide clients in Baildon and across West Yorkshire to choose.

QuickBooks tends to suit freelancers, sole traders and very small businesses best. It's the simplest to pick up, the mobile app is excellent, and it does the basics brilliantly. If you're just moving from spreadsheets or paper, QuickBooks gets you up and running with the least fuss.

Xero is my usual recommendation for growing small businesses with a couple of employees, stock to track, or more than one location. The bank feeds are rock-solid, the reporting is more flexible, and it connects with a wider range of third-party apps. If you're outgrowing your first software choice, Xero is often the natural next step.

Sage is the right fit for established businesses with more complex needs — job costing, construction industry scheme (CIS), detailed stock control, or multi-currency trading. It has the deepest feature set of the three, and for businesses that have used desktop Sage for years, the cloud version keeps that familiarity while adding the benefits of live data and remote access.

A few practical pointers: if you make most of your sales in person and need a simple setup, QuickBooks is hard to beat. If you run an e-commerce or service business that's scaling, Xero's integrations and automation save real time. If you're in construction, manufacturing, or any industry with complex billing, Sage's depth pays off.

The good news is that all three are MTD-compliant and all three allow your accountant to work with you in real time. The choice is less about 'which is best' and more about 'which is best for where your business is now' — and that can change as you grow.
