42 Client Pain Points, Solved - The Questions Small Businesses Ask Us Most

Late VAT returns, unaffordable tax bills, Making Tax Digital, payroll deadlines and cashflow that will not add up. Here are the 42 problems small business owners bring us most often, with the four-step fix we use for each one.

Most of the questions that land in our inbox are not unusual. They are the same handful of worries, asked by different people, usually at the wrong end of a deadline. So we sat down and wrote all of them out: 42 client pain points, grouped into nine areas, each with the problem explained plainly, the four steps we take to fix it and the result you should expect.

This is the short version. If you recognise yourself in any of it, that is rather the point.

01. VAT

Five of the most common: a late VAT return, a VAT bill you cannot afford, interest charged on top of a penalty, crossing the VAT threshold without noticing and asking whether a penalty can be cancelled.

A late return puts you straight onto HMRC's points system, and once you hit the threshold a fixed £200 penalty follows. Miss the 15-day grace period on payment and an affordability problem quietly becomes a penalty problem: 3 per cent at day 15, another 3 per cent at day 30, then a daily charge. Our approach is always the same. We work out what actually happened, get the filing or the Time to Pay arrangement sorted, show you what changed so it does not repeat and then track your VAT dates so remembering is not left to you.

02. Self Assessment

Missed deadlines, payments on account that look too high, penalties, record keeping and the perennial 'what do I actually owe and why?'. Reducing payments on account without solid figures behind the decision can backfire and HMRC charges interest on the shortfall. We would rather do the calculation properly than guess.

03. Making Tax Digital

Does MTD for Income Tax affect you, is your software genuinely compliant and how do quarterly submissions actually work in practice? Plenty of software is described as MTD-ready when it's not. We check it, set it up in Xero, QuickBooks or Sage and walk you through the first few submissions rather than leaving you to find out in April that it's wrong.

04. Corporation Tax and Companies House

Late accounts, late Corporation Tax returns, the PSC register, confirmation statements and, at the sharp end, a company facing strike-off. These are the filings that get forgotten because nothing chases you until it is expensive. We bring them current and then take over the deadline tracking.

05. PAYE and Payroll

Missed payroll deadlines start at £100 a month and repeated lateness raises the odds of a formal HMRC review. Add leavers processed badly, new starters without tax codes and RTI submissions that never went through and payroll becomes a slow drip of small problems. It should be boring. We make it boring.

06. Book-keeping and Cash Flow

Bank feeds that don't match the books, invoices that nobody is chasing, expenses that you're not sure you can claim and the classic - profitable on paper, no cash in the bank. Cash problems rarely appear overnight. They build quietly for months while nobody is looking at the numbers.

07. Company and Personal Tax Planning

Salary or dividends, sole trader or limited company, selling an asset, an overdrawn director's loan account and what to do when a letter arrives that you don't understand. These are decisions with real money attached and they deserve more than a rule of thumb from a forum.

08. Working with an Accountant

Why does your accountant need so much information? Can you switch accountants partway through the year? What happens when HMRC writes to you? Switching is far more straightforward than most people expect and a mid-year move does not usually disrupt filings as long as records are handed over promptly.

09. Advisory and Growth

Can you afford to expand, take on a new site or win a big contract? Should you take on more staff or wait? What should you do with surplus cash? This is the where the real value is added to your business when you have someone who already knows your numbers and how to read them.
